Respo collects information about you only when you use our Services or interact with certain parts of our business (for example our support or marketing channels).
Account, Profile and Billing Information
Respo collects information about your profile including your preferences and billing information in order to provide a streamlined experience.
Content Provided Through Respo Services
The Services, namely the Respo product you use, collects and stores any information sent or received from you. Examples of content we collect and store include: the questions and bot interactions you have with the Services. Content also includes the files and links you upload to the Services.
Respo Services include our website and social media and networking websites and profiles. We collect information provided by you to these websites. For example, you provide content to us when you provide feedback or when you participate in any demo requests, trial request, interactive features, surveys, contests, promotions, sweepstakes, activities or events.
Respo offers support services in the event where you may encounter an issue or need assistance. When engaging with our support team, you may be asked and choose to share your contact information as well as technical information to help us troubleshoot any issues, such as your browser version, including any relevant screenshots.
Depending on the Services you purchase from Respo, we may collect certain payment information such as credit card details or bank information as well as information about the billing representative including name and contact information.
Automatic Metadata Collection
To provide the best experience possible, Respo collects information when you interact with both our websites, including social media profiles, as well as our Services.
Respo Websites, Services and Third-Party Platforms Usage
In order to provide you with the best user experience possible as well as help troubleshoot issues you may run into, Respo collects information about your interactions with our Services. This includes, but is not limited to information about the device and browsers you use to access our websites or services, information about the features you engage with, questions and comments when interacting with our services and files and attachments shared either via our websites or Services. We also collect information through your device about your operating system, browser type, IP address, URLs of referring/exit pages, device identifiers, and crash data. We use your IP address and/or country preference in order to approximate your location to provide you with a better Service experience. How much of this information we collect depends on the type and settings of the device you use to access the Services. We also collect information about other users of our Services that you engage with.
Respo provides services that reside inside and consume data from other online platforms (such as Slack or Microsoft Teams, collectively referred to as "Platforms"). When adding the relevant Services to the Platforms, we request permissions which allow sharing of information such as account and profile information or settings of the relevant Platform.

We receive information about you from other Service users, from third-party services, from our related companies, and from our business and channel partners.
Other Users of the Services
Other users of our Services may provide information about you when they submit content through the Services. For example, you may be mentioned in a Respo question posted by someone else. Similarly, an administrator may provide your user name when they designate you as the billing or technical contact on your company's account.
How We Use the Information
To provide a tailored user experience
Respo uses information that you’ve provided to create a custom experience to fit your needs. For example, we use your information to authenticate you and process payments as well as provide a relevant bot experience according to your role and your past interactions with the Services and other users using the Service. We may also use your name and contact information to provide a better support experience as well as a more personalized experience on our websites.
For research and product development
In order to constantly improve our Services, Respo uses your information to gather feedback on your interactions with our services and websites to ensure that we can constantly improve our Services and provide more value to you as a user or identify any issues in our Services. For example, we may use the questions you ask our Services to better understand the types of questions that you’re interested in, or use the interaction with the bot’s feedback inputs to measure the value of your interaction with the bot. We may also use your data to provide aggregate metrics about you and your team’s usage of our Services and better understand macro behaviors.
We may also use your information to occasionally reach out either via our Services or other means to offer training or tips that could help you derive more value from our Services.
To market, promote and drive engagement with the Services
Respo may use your profile and contact information to promote existing or new products and services either via email, or third party platforms such as Google and Facebook. These communications are meant to inform you of new products and services and drive engagement to help you maximize your value with Respo.
We use your information to resolve technical issues you encounter, to respond to your requests for assistance, to analyze crash information, and to repair and improve the Services.
For safety and security
We use information about you and your Service use to verify accounts and activity, to monitor suspicious or fraudulent activity and to identify violations of Service policies.
To protect our legitimate business interests and legal rights
Where required by law or where we believe it is necessary to protect our legal rights, interests and the interests of others, we use information about you in connection with legal claims, compliance, regulatory, and audit functions, and disclosures in connection with the acquisition, merger or sale of a business.
With your consent
We use information about you where you have given us consent to do so for a specific purpose not listed above. For example, we may publish testimonials or featured customer stories to promote the Services, with your permission.
How we share information we collect
Respo may in certain cases share your data with third party platforms and vendors to ensure that you are provided the best experience possible and derive significant value from our Services. However, Respo does not sell your data to any third party organization.
Respo lets you engage with the bot, but the Services also tracks certain information about you and content that you share when the bot has been authorized to collect data from a specific channel or knowledge base. In doing so, Respo may use your information to indicate when you’ve asked a question so that other user’s can more effectively collaborate with you.
Respo offers both private and public community forums, including but not limited to blogs, social media pages, customer forums and support channels. The information that you post to any of these channels may be used to gather feedback and shared with other members of these channels or the public. Sharing with third parties
Under exceptional circumstances, we may choose to enforce our legal rights and share your information with law enforcement agencies if we believe it necessary in order to (a) comply with any applicable law, regulation, legal process or governmental request, including to meet national security requirements, (b) enforce our agreements, policies and terms of service, (c) protect the security or integrity of our products and services, (d) protect Respo, our customers or the public from harm or illegal activities, or (e) respond to an emergency which we believe in good faith requires us to disclose information to assist in preventing the death or serious bodily injury of any person.

How long we keep information
Respo will store and retain all information during the entirety of your engagement with the Services unless we’ve received an explicit demand to delete part or all of your information at email@example.com. If you leave your organization or individually stop engaging with our Services but your administrator chooses to still use Respo, we may use your information to continue providing services to other users to meet our commitments. If you would like your information to be deleted, please email .
If you choose to terminate your contract with Respo, we will retain your information for a reasonable period of time in order to comply with legal obligations, resolve legal disputes, restore your services if you choose to re-engage with Respo, meet service obligations and continue to improve our Services. In the event that you terminate your contract and we retain your information, we will do our best effort to anonymize the data and will only use the data in aggregate and will not use it to analyze personal characteristics about you.
By engaging with Respo’s websites or Services, you are agreeing to receive marketing material from Respo unless you have explicitly opted out. We will retain your information and about your marketing preferences to ensure that all marketing material sent from Respo to you is relevant and matches your preferences.
Accessing Your Information
In accordance with the law you may have the right to access your information. The following section covers what you may or may not access and how to request information.
Depending on your country or residence or where you work, you may have the right to access, request or modify your information. Certain information can be accessed or modified directly within the Services, for everything else, please contact firstname.lastname@example.org.
By default, Respo retains your information, even if you deactivate your account, in order to surface relevant information about past interactions with the Services to other users of the Services within your organization. If you wish to completely remove your information, please contact your administrator.
In certain cases, we may not be able to comply with a request to modify or delete some or all of your information if we believe that this request could cause us to share information from another user, or we think may be important or necessary to keep to comply with the law.
You may also ask to to stop collecting, storing and processing your information. In order to do so, you must first stop using our Services and deactivate your account if you have an active account with Respo in your organization. Requesting us to stop collecting, storing and processing information does not mean that we will automatically stop processing information previously collected and maintaining any information that we have collected and stored prior to the request. For Respo to stop processing all data and remove all your information, you must file a request.
Other important privacy information
Notice to End Users
Respo’s Services are designed to be used by organizations (eg. your employer). As such, the organization that you belong to that is using Respo is the administrator and all requests must be directed to your administrator since the collection and processing of your data may be further subject to your organization’s practices and policies.
Furthermore, administrators may have the right to access some of your information, modify your information, restrict or grant functionality to the Services or terminate your account.
Exercising your rights
If you are a California resident, there are some additional rights that may be available to you under the California Consumer Protection Act ("CCPA"). This policy explains the tools that we have made available to you to exercise your data rights under the CCPA, such as the right to deletion and the right to request access to the categories of information we have collected about you. For more information on how to exercise your rights please visit the "How to access and control your information" section of this policy. We encourage you to manage your information, and to make use of the privacy controls we have included in our Services. You will not be discriminated against for exercising any of your privacy rights under the CCPA. In order to protect your information from unauthorized access or deletion, we may require you to provide additional information for verification. If we cannot verify your identity, we will not provide or delete your information.
